We are looking for a volunteer Facilities and Health and Safety Officer to support the Office Manager in maintaining a safe, well-managed and fully supplied office environment. The role combines monthly health and safety checks with basic facilities and stock management, ensuring the office remains safe, compliant and appropriately stocked for day-to-day operations.
Key Responsibilities
Health and Safety Responsibilities:
- Carry out a monthly health and safety check of the office premises.
- Check and record the contents of the first aid box on a monthly basis, ensuring it is adequately stocked.
- Undertake monthly testing of the fire alarm system and emergencylighting, in line with agreed procedures.
- Record and report findings to the Office Manager, highlighting any risks, faults, or concerns.
- Take monthly utility meter readings and update the relevant supplier portal(s) as required.
- Escalate any urgent health and safety issues promptly.
- Support with occasional additional health and safety checks or tasks as required
Facilities and Stock Management:
- Monitor and manage office supplies, including cleaning materials, stationery, and general office consumables.
- Manage kitchen supplies such as tea, coffee, milk, sugar, and biscuits.
- Maintain and update shopping lists for all office supplies.
- Identify when supplies are running low and flag or reorder items as appropriate.
- Place or coordinate orders for supplies where required (in agreement with the Office Manager).
- Ensure supplies are stored safely, appropriately, and in an organised manner.
- Escalate urgent issues to the Office Manager when necessary.
Skills
- Good attention to detail and a responsible approach to safety.
- Ability to follow simple checklists and procedures.
- Reliable and able to complete monthly tasks consistently.
- Confident in recording information accurately and reporting issues clearly.
- No formal health and safety experience is required, as training will be provided.
- Competent IT skills, including familiarity with Google Workspace (Google Drive, Docs, Sheets) or Microsoft Office.

Availability Details
This is a flexible volunteer role requiring approximately one visit per month to complete scheduled health and safety checks, meter readings, and stock review tasks. Additional ad hoc tasks may be required. Based at the office in Barnards Yard, Saffron Walden
